Position Summary

The Accounts Payable Clerk at Marmic Fire & Safety plays a crucial role in managing the financial operations related to vendor payments and accounting audits. This position involves reviewing, matching, and processing invoices, maintaining accurate records, and ensuring timely payments. The Accounts Payable Clerk will work closely with the professional accounting team to handle all aspects of accounts payable, from invoice processing to vendor reconciliation, and contribute to the month-end closing process.

Core Responsibilities

Invoice Management:

  • Review all invoices for proper documentation and approval before processing payments.
  • Process 3-way P.O. matching invoices, including those with up to 100+ line items.
  • Prioritize invoices based on cash discount potential and payment terms.
  • Process check requests and audit credit card bills.

Payment Processing:

  • Match invoices to checks, obtain required signatures, and distribute checks as needed.
  • Maintain 1099 forms and handle related inquiries.Reconcile vendor statements, research and resolve discrepancies.
  • Documentation and Filing:Sort and distribute incoming mail.
  • Maintain accurate and organized files and documentation according to company policies and accounting practices.

Month-End Closing:

  • Assist in the month-end closing process by ensuring all invoices and payments are accounted for.
  • Provide support for other accounting projects and tasks as needed.

Vendor and Internal Communication:

  • Respond to vendor inquiries and provide necessary documentation or information.
  • Communicate effectively with employees and vendors, both verbally and in writing.

Minimum Qualifications

  • High school diploma or equivalent required.
  • 2+ years of experience in an accounts payable or related role.
  • Strong work ethic with a detail-oriented, professional attitude.
  • Proficient in Excel, Google Sheets, Microsoft Word, and Google Docs; 10-key by touch.
  • Strong organizational, time management, and problem-solving skills.
  • Basic knowledge of accounting principles, financial chart of accounts, and general ledger systems.
  • Ability to perform mathematical computations accurately (e.g., percentages, fractions, addition, subtraction, multiplication, and division).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Effective verbal and written communication skills in English; fluency in Spanish is preferred.
  • Must pass pre-employment background checks and drug screenings, with ongoing compliance.

Preferred Qualifications

  • Experience with accounts payable/general ledger systems and financial chart of accounts.
  • Fluency in Spanish for improved vendor communication.
  • Ability to handle high-volume tasks with precision and accuracy.

Marmic Fire & Safety Company (MFS) is the successful expansion of Joplin Fire Protection (JFP) which began in 1951 with Charles and Mary Lou Teeter. After decades of practicing customer-centric service JFP added territories in Oklahoma, Kansas, and Arkansas with a second generation of the Teeter Family at the helm.
